Who we are. ClerkPilot AI is a business automation agency based in Mississauga, Ontario, Canada. You can reach us anytime at info@clerkpilotai.com.
What we collect. When you request a free automation audit or use our assessment, we collect what you give us: your name, work email, company name, phone number, website (optional), a description of your business, and the assessment answers used to build your quote (industry, team size, hourly cost, tasks, and hours). We do not collect more than we need, and our assessment itself works without any contact information.
Why we collect it. Only to: (1) prepare and send your personalized quote and audit report, (2) contact you about your audit, including one scheduled reminder email, and (3) deliver our services if you become a client. We do not sell or rent your information, we do not use it for third-party advertising, and we will not add you to a mailing list you did not ask for.
Who helps us process it. Like most modern businesses, we use trusted service providers: Cloudflare (website hosting and the anti-robot check), Resend (sending our emails), and Google Workspace (email, calendar, and audit call booking with Google Meet). Each processes data on our behalf under their own privacy and security commitments, and some of these providers store data outside of Canada (notably in the United States).
How long we keep it. We keep your information only as long as needed for the purposes above — for example, while your quote is active or while you are a client — after which it is deleted.
Your rights. You may ask us at any time to access, correct, or delete the personal information we hold about you, or to withdraw your consent. Email info@clerkpilotai.com and we will respond promptly. The person in charge of the protection of personal information at ClerkPilot AI can be reached at that same address.
The laws that protect you. We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and, for Quebec residents, the Act respecting the protection of personal information in the private sector as modernized by Law 25. If you are not satisfied with our response to a privacy request, you may contact the Office of the Privacy Commissioner of Canada or, in Quebec, the Commission d'accès à l'information.
